Onboarding a new hire, up to their first payslip
The Cambodian onboarding sequence that avoids a missed first payroll: preboarding documents, checklist tasks, policy sign-off, contract, and salary setup.
The first payroll is the real deadline
Onboarding usually gets measured by how welcome somebody felt in week one. The measure that actually bites is whether they were paid correctly at the end of the month — which depends on a contract, a salary structure, and a bank detail that all had to exist before the run was processed.
What has to exist before the first run
- A signed contract with a start date and a type
- An active salary structure covering the pay period
- Bank or payment details for the payout method you use
- Identity and tax details captured, not promised
- A shift assignment, so attendance measures against something
From offer accepted to first payslip
Most of what makes day one smooth happens before day one. The sequence below front-loads the paperwork so the new hire's first week is not spent photocopying.

Send a preboarding link before day one
A single-use link lets the new hire submit their details and documents before they arrive — without needing an account in the system yet, and without documents travelling through a personal chat app.

Identity documents, qualifications, and bank details go straight into the document store attached to their record. The link is consumed once used, so it cannot be forwarded and reused.

Onboarding is a set of tasks with owners, not a document HR keeps privately. Building it from a template means the twelfth hire gets the same treatment as the second.

Task owners work their own items
IT provisions the account, facilities issues the desk and any asset, the manager books the introductions. Progress is derived from the tasks themselves, so the status is never someone's optimistic estimate.

Mandatory policies are acknowledged, not just handed over
Work rules, code of conduct, and safety policies are acknowledged by the new hire individually, with a timestamp. This is the same mechanism used for an all-staff policy change later.

Create the contract and the salary structure
The contract carries its type and its dates; the salary structure carries effective dates and goes through its own approval. Both must exist and cover the pay period, or the payroll pre-check will list this person as a problem.

Because the record, the contract, and the structure all exist, the new hire appears in the run without anybody adding them manually — which is exactly the step that gets forgotten when onboarding lives in a spreadsheet.
